behind it

A visitor-facing modular office needs a clear arrival sequence before it needs an impressive façade. In this Gabon project, the site operator’s brief brought reception and meeting space together with staff offices and support rooms. PQSE House was responsible for the modular-building work. The central planning question was how to receive people without sending them through operational corridors or interrupting the work taking place behind reception.

That brief is useful for buyers planning an office beside an active site, a depot or another controlled workplace. A visitor may arrive for a short appointment, while an employee needs repeated access to a desk, files and services. Giving both people the same route can make a compact building harder to operate. A room schedule should therefore describe who uses each space, who may enter it without an escort and how those permissions change during the day.

The confirmed project record establishes the country, application and PQSE’s modular-building role. It does not establish an approved module count, customer identity, completion date, occupancy limit or measured operating result. The discussion below develops the reception and circulation priorities into procurement decisions for a similar buyer. Construction photographs accompany that discussion; the broader plans, interior arrangements and exterior examples are design references rather than a complete record of what was supplied in Gabon.

For buyers comparing office functions, the container office range is a starting point for defining reception, meeting and staff space. The next step is a site-specific brief showing how those functions connect. A product photograph cannot settle where the public boundary should sit or which team will complete the external works.

Make reception a sequence, not a spare room

Start outside the entrance. Mark where a visitor leaves a vehicle, where the pedestrian approach begins and what that person sees before reaching the door. If the first visible entrance leads to a staff corridor, signs will have to correct a decision the building has already encouraged. It is easier to position the public door and reception desk together while the plan is still being developed.

Inside, the arrival sequence should allow a person to announce an appointment, wait and move to a meeting room when invited. Those actions do not have to occupy separate modules. They do need enough separation for the receptionist to continue working while another visitor waits. Place a waiting chair on the drawing, open the entrance door through its full swing and check that neither occupies the route used by an arriving group.

Think about less convenient arrivals too. A courier may need a signature without entering the office. Someone may arrive early while a meeting is still in progress. A visitor unfamiliar with the site may need directions or an escort. Describe where each person stops and who responds. This exposes whether reception is expected to be a staffed point throughout opening hours or whether a call system is part of the brief.

The table turns those situations into drawing questions. It is an editorial planning tool, not a claim that the Gabon building contained every listed feature. A buyer can remove functions that do not apply and add requirements that arise from the actual operation.

Arrival and access decisions to settle on the office plan

Situation

Drawing decision

Operator’s confirmation

A visitor arrives before an appointment

Waiting position remains clear of the entrance and internal route.

Who receives the person when the receptionist is occupied?

A delivery needs a signature

A defined handover point avoids unnecessary access to workrooms.

Which deliveries are accepted at reception, and where are they stored?

A meeting ends as another group arrives

Movement to the exit does not depend on clearing the waiting area.

What overlap should the room schedule accommodate?

Staff move files or equipment

Staff circulation does not run through the visitor queue.

Which items move regularly, and how much clear space do they need?

A visitor needs assistance

The route, entrance and facilities are reviewed as a connected journey.

Which accessibility requirements and local approvals apply?

Keep the public boundary readable

The boundary between visitor space and working space should be visible in the plan. Reception and a meeting room can remain on the public side, while desks, records and operational support stay behind a controlled point. Whether that point is a staffed doorway, an access-controlled door or another arrangement depends on the operator’s procedures. It should not be chosen from a photograph alone.

A boundary works best when normal movements do not constantly bypass it. If visitors must cross the staff zone to reach a toilet, the reception arrangement has an unresolved dependency. If employees carry supplies through a meeting room, a closed-door meeting will interfere with their work. Trace those movements before deciding that a compact layout is complete.

The UK’s Health and Safety Executive includes a direct question in its site-route checklist: can visiting drivers reach the reporting point by a suitable pedestrian route? It also asks about separation from vehicles, crossing locations and visibility. These are useful review prompts for an active site; the UK guidance does not establish Gabonese requirements or approve this project’s routes.

Use the same drawing to show the office approach and surrounding operations. An attractive entrance can still face an unloading area or a blind corner. The operator and local design team should resolve those interfaces with the traffic plan. Where the office serves a live works programme, the construction site office solution provides a related starting point, with site circulation and services carried into the building brief.

Give meetings a room that can remain useful

A meeting room is more than a table drawn between walls. List the activities it must support: reviewing documents, displaying a plan, discussing a contract or joining a remote call. Those uses affect furniture, lighting, sockets, network access and the position of the door. A room that suits a short briefing may need a different arrangement for a private discussion.

The furnished interiors in the reference material can help a buyer describe a preferred arrangement. They do not confirm the Gabon project’s furniture package or demonstrate its sound insulation. Mark furniture and equipment as included, locally supplied or optional when requesting a quotation. This prevents a persuasive room image from silently becoming an assumed supply commitment.

Place actual furniture dimensions on the proposal rather than accepting a perspective image as a space check. Chairs should be considered both tucked in and occupied. The person using a screen needs to see it without sitting in the doorway. A wall intended for a display also needs the corresponding power and data points. Otherwise the finished room may depend on cables crossing the floor.

For privacy, review the whole enclosure. Ask how the partition meets the ceiling and floor, how services pass through it and what the door assembly includes. These questions help define a specification; they do not establish an acoustic rating. The first concerns the usable rooms: reception, meetings, desks and support functions. The second concerns how the building system forms those rooms, including module connections, partitions, openings and service routes. Both layers need to agree before the arrangement is treated as a coordinated proposal.

The supplied room-layout renderings are useful for discussing adjacency and furniture positions, but they are not approved Gabon drawings. Ask for a dated plan tied to the quotation and check revisions against the room schedule. A later change to an entrance or partition should also trigger a review of the services and furniture that depend on it.

Begin with a room list that records the intended activity and anticipated users. Separate permanent workstations from occasional meeting seats. Distinguish the area needed for the activity from circulation and storage. This avoids counting a reception chair as a workstation or treating a passage beside a desk as spare office space.

Then test doors and junctions. Open each door on the plan and look at the furniture it reaches. Follow a person from reception to the meeting room and back outside. Follow an employee between workroom and support area. A drawing may contain all the requested rooms yet require one group to wait whenever another door is open.

For a system comparison, the flat-pack container house product helps frame a conversation about the building package and site assembly. It does not mean that this case used a specific flat-pack model. The selected system, delivery configuration and connection details remain matters for the project’s agreed documents.

<img loading="lazy" decoding="async" class="wp-image-7236" src="https://pqsehouse.com/wp-content/uploads/2026/10/pqse-twin-bed-room-wet-room-floor-plan-render.webp" sizes="(max-width:767px) calc(100vw - 60px), (max-width:1200px) 40vw, 422px" srcset="https://pqsehouse.com/wp-content/uploads/2026/10/pqse-twin-bed-room-wet-room-floor-plan-render-154x300.webp 154w, https://pqsehouse.com/wp-content/uploads/2026/10/pqse-twin-bed-room-wet-room-floor-plan-render-525x1024.webp 525w, https://pqsehouse.com/wp-content/uploads/2026/10/pqse-twin-bed-room-wet-room-floor-plan-render-600x1171.webp 600w, https://pqsehouse.com/wp-content/uploads/2026/10/pqse-twin-bed-room-wet-room-floor-plan-render-768x1498.webp 768w, https://pqsehouse.com/wp-content/uploads/2026/10/pqse-twin-bed-room-wet-room-floor-plan-render-787x1536.webp 787w, https://pqsehouse.com/wp-content/uploads/2026/10/pqse-twin-bed-room-wet-room-floor-plan-render.webp 898w" alt="Top-down floor-plan render of a room with two separate beds, storage and an enclosed wet room; A meeting room may alternate between reading paperwork and viewing a display. Treating every area as the same lighting task can miss those differences. State where reading takes place and where reflected light could interfere with a screen.

The World Bank Group workplace guidance, dated April 2007, distinguishes task categories in Table 2.3.3. The two entries below are transcribed as reference values. They are not readings from this office, a PQSE product specification or a statement of applicable Gabonese law.

Selected lighting references and their limited use in an office brief

Source task category, paraphrased

Source minimum intensity

Question for the lighting designer

Occasional visual tasks, including corridors and lobbies

100 lux

Which parts of the arrival route serve orientation rather than sustained reading?

Reading and precision tasks, including offices

500 lux

Where are the working surfaces, and what applicable design criteria govern them?

Use the distinction to request a task-based lighting schedule from the responsible designer. Confirm the applicable criteria, measurement conditions and commissioning method for the actual building. A luminaire count or a bright photograph does not show the illumination achieved at a desk.

Glazing and furniture also belong in that discussion. A window behind a screen can affect visibility, while a reflective tabletop can create a different problem. Review the intended screen positions, shading and room orientation together. Changes made for reception appearance should not leave the employee working against an avoidable reflection throughout the day.

Check fresh air against the way rooms fill up

Meeting rooms can fill quickly and remain occupied while adjacent desks are partly empty. A ventilation proposal should reflect those different uses. Record how the room is expected to be occupied, which windows or vents can operate and what mechanical system brings outdoor air into the space.

HSE’s ventilation assessment guidance explains that the required airflow depends on occupation and activity. It also distinguishes moving air with a desk or ceiling fan from supplying fresh air. This distinction helps a buyer ask the right question: how is outdoor air provided when the meeting room is in use?

A cooling appliance visible in an interior photograph does not answer that question. Request the proposed equipment schedule and a description of the outside-air path. If the design depends on open windows, ask the design team to consider the conditions under which those windows may remain closed, including noise, weather and security.

Maintenance should be part of the proposal too. HSE’s separate guidance on improving ventilation calls for confirming that outdoor air is actually supplied and that mechanical systems are maintained. For procurement, identify who can reach filters, controls and service points without dismantling furniture or obstructing the public route. No measured ventilation result is available for the Gabon office, so this article does not assign it an airflow or indoor-air performance rating.

Decide what support space really belongs in the office

Support rooms can be overlooked because they are less visible than reception. Yet a cleaner needs a place for supplies, a printer may need storage for paper, and staff may need a place to leave belongings. List these functions before allowing unused corners to become informal storage. A corner beside an entrance is especially likely to interfere with the arrival sequence if its purpose remains undefined.

A pantry or rest area should be described by its intended use. There is a difference between making drinks and preparing meals, and the services required should follow the agreed activity. Do not let a room label alone decide the plumbing, equipment or cleaning arrangement. Ask the operator which appliances will be used and which team is responsible for their supply.

The shared-room renderings and accommodation examples in the supporting material show possible uses, rather than additional confirmed Gabon facilities. Sleeping rooms, dining layouts and shower arrangements should enter a similar project’s scope only when the buyer requests them. For this office brief, their value is in identifying interfaces that would need separate consideration if the programme expands.

If toilets or washing facilities are part of a future brief, the portable sanitation range can support a separate discussion of fixtures and service connections. The height of the prepared building support affects the entrance arrangement. Finished paths affect drainage and access. Services must reach the agreed connection points without creating an obstacle beside the public door.

Exterior reference buildings offer another useful test: compare where doors, glazing and circulation are placed, then explain why a choice would suit the actual site. A layout that appears convenient in one setting may face the wrong approach in another. Compare functions rather than treating another building’s exterior as a ready-made solution.

The retained assembly photographs can support discussion of visible building stages. They do not establish the order or duration of the Gabon installation, the hidden connections used or the acceptance of the completed structure. Foundations, anchorage, lifting arrangements and structural approvals require the applicable project documents and responsible professional review.

Ask for the limits of each party’s work to be drawn, not only described in a quotation sentence. Identify the building connection point and the external system it connects to. Name who provides, installs and verifies each part. Give every room a reference on the plan and connect it to the schedule. Tie openings, partitions, finishes and service points to those references so that changes can be traced.

For each interface, ask for a responsible party and a completion condition. A room can be physically installed while its network connection, outside access or utility supply remains unresolved. Defining those dependencies at procurement makes it easier to plan the work around an active operation. It also lets the buyer compare offers on the same scope instead of comparing totals that cover different responsibilities.

Information to assign before comparing modular office offers

Package or interface

Document to request

Responsibility to resolve

Rooms and access boundary

Dated plan, room schedule and public/staff route review.

Who approves the operational arrangement?

Building system and openings

Agreed configuration, connection details and opening schedule.

Which elements are supplied and assembled by each team?

External entrance and prepared site

Coordinated support, threshold, route and drainage drawings.

Who completes the site works and verifies readiness?

Power, data, ventilation and water

Equipment and connection schedules with interface locations.

Who connects, tests and maintains each system?

Furniture, fittings and handover

Inclusions list, service instructions and acceptance records.

What evidence is required before normal use begins?

Where an office needs to change alongside the site programme, the Indonesia case on phased site rooms explores a related question: how changes in room use affect circulation and services. Its project facts remain separate from this Gabon brief, but the procurement questions can help an operator identify future changes before agreeing the initial layout.

The World Bank Group’s EHS guidance overview states that recommendations need to be tailored to project risks and the host-country context. External guidance therefore supports questions and documented design review here; it does not provide a certification for PQSE or a substitute for the approvals required by the actual office.

Review the building as it will be used

Before handover, walk through the agreed arrival sequence with the furniture in its intended positions. Check whether a person approaching the building can identify reception, whether the desk can receive a visitor without blocking the entrance and whether the meeting room can be reached without entering an operational corridor. Record issues against the approved plan so they can be resolved rather than absorbed into informal daily practice.

Keep the distinction between operational checks and professional acceptance. Trying the visitor route can reveal a confusing door or misplaced chair. It cannot prove structural adequacy, fire performance or electrical safety. Those matters require the appropriate documentation and checks by the responsible teams. This case contains no verified commissioning results or completed acceptance record.

After occupation, assign the routine tasks that keep the layout usable: keeping the approach clear, managing deliveries, maintaining signs and ensuring stored items remain in their designated places. If the office changes use, revisit the room and service schedule instead of simply adding furniture. Reception arrangements that work for appointments may need another review when the building starts handling larger groups or a different kind of visitor.

The useful lesson from the Gabon brief is a practical one. Reception, waiting, meeting and staff work should be considered together while the room plan is being set. A similar buyer can begin with a site plan, room list, visitor procedures, expected users and available services. Those documents give PQSE House and the local team a basis for an office proposal with clear circulation and an explicit supply scope.

Sources and scope

Prepared by PQSE House from the owner-confirmed Gabon project brief, retained project-associated construction material and separately classified design references.
